We are seeking a highly organized, self motivated, reliable and detail-oriented individual who enjoys working with documentation to manage our supplier approval program and customer food safety documentation. This role is critical in ensuring compliance with food safety standards by maintaining accurate records, coordinating documentation, and supporting both supplier verification and customer requirements.
This is a part-time position, five days per week, requiring strong prioritization skills and the ability to manage multiple documentation streams efficiently!
DUTIES & RESPONSIBILITIES INCLUDE:
Supplier Approval Program Management
- Maintain and update supplier approval files, ensuring all required compliance documentation is current (e.g., audits, certifications, specifications, COAs).
- Track document expiry dates and proactively follow up with suppliers for renewals.
- Review supplier documentation for completeness and compliance with company food safety standards.
- Support onboarding of new suppliers, including document collection and verification.
- Prepare and manage customer food safety documentation packages (e.g., questionnaires, specifications, letters of guarantee, audit documents).
- Respond to customer documentation requests in a timely and professional manner.
- Ensure consistency and accuracy of all outbound documentation.
- Organize and maintain electronic filing systems for easy retrieval and audit readiness.
- Ensure version control and proper document formatting compliance
- Support internal audits and external inspections by providing required documentation.
- Provide training as required to team on supplier approval program
QUALIFICATIONS INCLUDE:
- Strong written and verbal communication skills in English.
- High level of organization and attention to detail.
- Proven ability to prioritize tasks and manage deadlines effectively.
- Comfortable using: Microsoft Teams, Word, Excel, Powerpoint
- Experience in food safety, quality assurance, or compliance documentation is an asset.
- Familiarity with food safety standards (e.g., PrimusGFS, HACCP) is preferred but not required
SCHEDULE:
- Part-time position (20 to 25 hours/week)
- Five days per week (flexible hours may be considered)
- Office-based or hybrid, depending on operational needs
